Privacy policy
This policy explains what personal information Bizzard ("we", "us") handles when you use Bizzard: the web portal and the mobile app used by our staff and, where we give them access, our business partners.
1. Who is responsible
Bizzard decides why and how personal information in Bizzard is used, and is responsible for it under India's Digital Personal Data Protection Act, 2023 and other applicable law. Accounts are created by the company for its employees and partners; you cannot create an account for yourself.
Bizzard was developed by Mentorcrafts Solutions Pvt. Ltd., which also hosts and maintains it for Bizzard. Mentorcrafts Solutions Pvt. Ltd. handles the information in the system only on Bizzard's instructions and for no other purpose.
2. Information we handle
Account and employment information
- Name, work email, password (stored only in scrambled form), role and reporting manager.
- Employee record kept by the company: employee ID, department, position, joining date, phone numbers, personal email, address, date of birth, gender, marital status, blood group, emergency contact, bank details for salary, salary details and a KYC document or photo you provided.
Attendance and location
- Punch-in and punch-out times, the place and IP address you punched from, and notes you add.
- For field staff, the phone's location while you are punched in, so the company can see the day's route, visits and distance travelled. Location is not tracked while you are punched out.
Photos and files
- Photos you take for client visits and site activity (with the place they were taken), expense bills, leave and task attachments, and documents you upload.
Business information you enter
- Leads, customers and dealers (names, phone numbers, emails, addresses), quotations, orders, service requests, tasks, day reports, expenses and leave requests. This includes personal details of the company's customers, which we use only for the company's business with them.
Device and usage information
- IP address, browser or device type, sign-in times, and a sign-in token or session cookie that keeps you signed in. We keep basic security logs.
What we do not collect
- We do not read your contacts, messages or call history, and we do not use advertising or cross-app tracking tools.
3. App permissions
- Location: to record where you punch in and out, and your route while you are punched in.
- Camera and photos: to take and attach visit photos and bills.
- Internet: to send and receive data from our servers.
You can change these in your phone's settings, but attendance, visits and photo features may not work without them.
4. How we use information
- To run attendance, payroll, expenses, leave, sales visits, quotations, orders, service and accounts.
- To let managers see work done by their team (see "Who we share it with").
- To keep the system secure, prevent misuse and support users.
- To meet legal, tax and accounting obligations.
5. Who we share it with
- People inside the company. Your managers, HR and accounts staff, and administrators can see your information as their role allows. Each person sees only what their role permits.
- Mentorcrafts Solutions Pvt. Ltd., the developer and maintainer of Bizzard, which supports and hosts the system for us.
- Other service providers that help us run the system: hosting and backup providers and, where switched on, an email sending service. They may only use the data to provide the service to us.
- Map and routing services. To show an address for a location and to draw a route on a map, coordinates (and nothing that names you) are sent to OpenStreetMap-based services (Nominatim and OSRM).
- Authorities, where the law requires it.
We do not sell personal information. Some providers may process data outside India.
6. Children
Bizzard is for adults working with or for the company. It is not meant for anyone under 18, and we do not knowingly collect information from children.
7. How we protect information
- Data travels over HTTPS and passwords are stored in scrambled (hashed) form.
- Role-based access: people only reach the screens and records their role allows.
- The mobile app signs in with a token that can be cancelled, and accounts can be deactivated immediately.
- Backups and monitoring to protect against loss.
No system is perfectly secure. If a breach affecting your information occurs, we will act as the law requires.
8. How long we keep information
- Account and employee details: while your account is in use. After you ask for deletion, your personal details are removed within 30 days.
- Business and legal records (attendance, payroll, expense, quotation, invoice and service records) are kept as long as the company needs them and the law requires. After you leave or delete your account, they stay but are no longer linked to your name or contact details.
- Location trails and photos are kept only as long as needed for attendance, visit and expense records, then deleted or anonymised.
- Security logs are kept for a limited time.
9. Your rights and choices
You can ask to see the information we hold about you, to correct it, to withdraw consent where we rely on it, to have your account deleted, and to complain about how we handle your information. Ask your administrator or contact us (section 12). If you are not satisfied with our reply you may complain to the Data Protection Board of India.
10. Deleting your account
You can ask for your account to be deleted at any time on our Delete account page. You are signed out straight away and your personal details are removed within 30 days. Business records the company must keep stay without your name (see section 8).
11. Changes to this policy
If we change this policy we will update the date at the top. For significant changes we will also tell you through the app or your administrator.
